Booking Terms & Guest Policy

Welcome to The Asar – A Signature Experience by Orian Group of Hotels

1. Acceptance of Terms and Conditions

By proceeding with a reservation through our official website theasar.com, the guest explicitly acknowledges and agrees to be bound by the following terms and conditions. Acceptance is formalized upon the act of clicking "I Accept" during the booking process. Any attempt to make a reservation without agreement to these conditions shall be rendered void ab initio.

2. Formation of Contract

A legally binding agreement shall be deemed to exist between the Guest and Orian Group of Hotels (hereinafter referred to as "the Hotel") upon issuance of a valid Booking Reference Number. The Hotel reserves the absolute right, at its sole discretion and without obligation to provide reason, to decline or cancel any reservation.

3. Reservation Guidelines

  • All bookings are strictly non-transferable and may not be sold or reassigned under any circumstance. Any breach shall render the booking null and void without refund.

  • Guests making bookings on behalf of others bear full legal responsibility for compliance with these terms by all parties included in the reservation.

  • The legal age to make or hold a booking independently is 18 years. Guests below this age must be accompanied by an adult.

  • Alteration of guest names or substitution post-confirmation shall not be entertained.

  • Reservations for five (5) rooms or more for the same date shall be categorized as Group Bookings and governed by specific terms.

  • Ancillary services and add-ons are subject to availability and may not be transferred. In cases of unavailability, only the amount paid for the specific add-on shall be refunded.

4. Room Rates and Payment Terms

  • Tariffs applicable shall be those prevailing on the website theasar.com at the time of reservation.

  • Full advance payment shall be required unless explicitly waived in writing by the Hotel.

  • All guests must present valid government-issued identification and, where applicable, the card used for payment.

5. Check-in and Check-out Protocol

  • Standard check-in time is post 1pm, and check-out is by 12pm. Early check-in shall be subject to availability and discretion of the Duty Manager.

  • Indian Nationals: Valid photo identification with address proof is mandatory (Voter ID, Passport, Driving License, or masked Aadhaar).

  • Foreign Nationals: A valid passport and visa are required in compliance with statutory norms.

6. General Conduct and Hotel Policy

  • The Hotel disclaims liability for loss or damage to valuables not deposited in the in-room safe.

  • Visitors are strictly prohibited in guest rooms for security reasons.

  • The Hotel retains the right to levy damage charges for any willful or negligent destruction of property.

  • Acts constituting criminal or unlawful behaviour (e.g., substance abuse, possession of illegal weapons, or solicitation) shall result in immediate expulsion and shall be reported to law enforcement authorities.

  • Smoking within the premises is strictly forbidden. Violations shall invite cleaning charges and legal action.

7. Room Occupancy and Guest Responsibilities

  • Occupancy limits per room type must be adhered to without exception.

  • One child below 8 years of age may stay without extra cost.

  • Children must not be left unattended at any time.

  • Non-compliance with hygiene and conduct expectations may result in summary termination of stay without refund.

8. Cancellation, Amendment & No-show Clause

Cancellation

  • Free cancellations are permitted only if made not less than 72 hours before the scheduled check-in time of 1pm.

  • Cancellations made within 72 hours of check-in shall attract a penalty equivalent to one night’s charge.

  • Ancillary charges (where applicable) shall be refunded in full.

  • Refunds, if applicable, shall be processed to the original payment method within a statutory period of twenty (20) working days.

Modification of Bookings

  • Modifications may be requested up to 72 hours prior to check-in at no additional administrative cost.

  • Modifications made within 72 hours shall be construed as cancellations followed by fresh bookings and shall invoke the applicable cancellation penalties.

  • All upgrades shall be subject to prevailing rates and availability.

No-show

  • In the event of non-arrival without due notice or approved modification, 100% of the booking amount shall be forfeited, with no recourse to refund.

9. Statutory Billing & GST Compliance

  • Guests requiring GST-compliant invoices must submit their valid GSTIN at the time of check-in. No retrospective amendments shall be entertained.

10. Special Terms for Group Reservations

  • Cancellations of Group Bookings made within 30 calendar days of scheduled check-in shall attract forfeiture of the total amount paid.

  • Additions to Group Bookings shall be honoured subject to prevailing rates and availability.

Our Commitment

In the rare event that a guest does not receive a satisfactory stay owing to compromised bed or shower conditions, The Asar Assurance allows for redressal or refund under defined terms.

Eligibility Conditions

  1. Unclean Bedding: Presence of stains, odours, or visibly unclean linen.

  2. Bed Discomfort: Damp, hard, or unhygienic bedding materials.

  3. Dirty Bathroom: Unhygienic or unclean sanitary areas.

  4. Inadequate Shower: Insufficient pressure or lack of hot water.

Process for Invocation

  • The issue must be reported within 30 minutes of check-in (points 1–3) or immediately upon discovery (point 4).

  • An internal assessment will be conducted with photographic documentation.

  • The Hotel may offer a replacement room or permit cancellation with refund depending on the nature of deficiency.

All refunds shall be processed exclusively via the payment method used at the time of booking. No cash refunds shall be entertained under any circumstances.
